Add Timeslots to the Scheduler Tool

How to Access the Scheduler Tool Link

  • To access the scheduler tool, log into your JUMP account.
  • In the Project Details App, go to Links
  • The Link Type will be ‘Other’ and the Link Description will be “Scheduler Tool”
  • Click on the Scheduler Tool Link to start filling in information

Enter information into the Scheduler Tool Link

Gather materials and have values on hand for Step 1, Step 2, and Step 3 before starting.

Enter the Time Zone you’re working in and click Continue.

 

Step 1: Enter Timeslots

Items with a red Asterix are required.

  • Start Date
  • Start Time
  • End Date
  • End Time

If you are entering more than one time slot at once, an End Date and End Time are required.

Further instructions on how to enter multiple time slots at once are below.

 

Step 2: Enter the Length of Interview

  • Enter time in minutes.
  • This will be the total length of the interview length and break time between the next interview.

 

 Step 3: Additional Time Slot Options

  • Max # of interviews per calendar date (optional).
  • Max number of interviews per timeslot (required).
    • If set to 1, only one respondent can select this timeslot.
    • If the value is set to a number greater than 1, that number of respondents will be allowed to schedule in that timeslot and that timeslot will be able to be selected until that # of respondents have scheduled in it.
  • How many hours before interview do you want the reminder sent? (required). If you do not want a reminder email, enter -1. The default is set to 2 hours.
  • You will also need to set how many hours before the timeslot begins you would like the timeslot to expire (required). The default is set to 24 hours.
  • Custom Flags can be used to show timeslots for certain types of respondents or multiple respondents using the same time slot. If this is something you’re interested, talk with your project manager.

 

 Step 4: Create Timeslots

  • Click the Create Timeslot(s) button to create the timeslots based on the settings in Steps 1-3.
  • Entering Single Time Slots vs. Multiple Time Slots:
    • To enter a single timeslot:
      • Select Start date and start time for the interview you would like to add.
      • Click Create timeslot in step 4.
    • To enter multiple timeslots at once (Use this to enter consecutive interviews with the same interview and break lengths):
      • Select start date and start time for first interview.
      • Select end date and end time for last consecutive interview.
        • End time should be set to the end time excluding break, or start time, of the last consecutive interview.
        • This is because the timeslots will be added in increments based on the length of interview you have entered in Step 2, and if, incrementally, another interview would start at the end time you have selected, this timeslot will be added too. Timeslots can be removed in Step 5 if any extras are accidentally added.
      • Click Create timeslot in step 4.

 

Step 5: Review and Edit

  • Review in Step 5
    • Until you save, timeslots will appear in the order they were entered. To see them in chronological order, click “Save and Preview” to go to the next page. When you click the “Back” button, timeslots will now appear chronologically in Step 5.
  • Items you can edit in Step 5
    • Day table
      • Max interviews per day. You can edit this cap by clicking the value under max interviews and entering a new one. You can also remove this cap by clicking the “-“ to the right of item you want to remove.
    • Timeslot table
      • You can edit the number of respondents allowed in interview, how far ahead of interview the reminder is sent (in hours), how many hours before interview the timeslot will expire, and flags.
      • You can also remove timeslot by clicking the “-“ to the right of item you want to remove.
      • Timeslot date/time cannot be edited in this list. If the time or date is incorrect, remove the timeslot and follow the steps to add a timeslot again.

 

Step 6: Save and Preview!

  • This is how the drop-down will appear to respondents.
    • All dates that have available timeslots will appear in the date dropdown.
    • If a start time is available on any day, it will appear in the start time list, even if it is not available on that day.
      • If the time you would like is available on the day you have selected, it will appear in black.
      • If the time is grayed out, it not available on that date, but is available on another date.
    • At any time, you can click back on this page to go back to the scheduler tool.
