Standard Process

Our Process In a Nutshell

  • Once the project is awarded and the final materials are received, we will begin production. Production time will vary depending on the length and complexity of the survey.
  • You will review the test link and provide feedback on any changes that are needed.
  • Jibunu will process the changes and once you approve the survey, we will make the survey live.
  • Once the survey is live, you or your sample provider(s) can complete the testing and then the survey is ready to launch.

The Nitty Gritty

However, if you want a little more insight into the nitty gritty details, read on…

  1. Quote – The Jibunu quoting team will respond to your quote request within two business hours.
    1. Use our online form (http://jibunu.com/quote.html) or email your bid request to quotes@jibunu.com
    2. Specs only – If you only have specs, the Quoting Team will provide you with an estimate based on the information you have. That estimate will be updated once you provide final materials. In order to provide a quote based on specs, please include as much of the following information as possible:
      1. Length of survey in minutes or number of questions
      2. Number of completes
      3. Number of languages
      4. Any additional services needed such as broadcasts, tabs, translations, and/or sample.
      5. Any special programming needs
    3. Draft or Final Questionnaire – We can provide a more accurate quote using the questionnaire, so if you have that, please send it in with your request.
    4. The Quoting Team will provide you with an estimate based on the information you provided.
  2. Production – Once you have awarded us the project and have a final questionnaire materials we will move it into production and assign a Project Manager.
    1. Final materials – Your Jibunu Team will begin production on your survey as soon as the final materials is provided.  We are sometimes asked to start early on a draft version.  We have found that beginning work with a draft version actually slows down the overall production time since additional rounds of changes and additional rounds of QA is needed.
    2. The Jibunu Project Manager will be your day to day contact regarding your project and will ensure we do our best to accomplish the objectives set for your project. All email communication regarding your project will have a Jibunu study number in the email subject line and will also include the projects@jibunu.com email, so our entire Project Management team is available to assist if needed. Once assigned to your project they will reach out to you requesting the following information. Please feel free to provide this information when awarding the job:
      • Confirmation that the quota structure is final, if applicable.
      • Name(s) of sample provider(s) you will be working with, if applicable.
      • If sample file(s) will be provided.
      • Whether sample provider redirect links or end text be used for completes, terminates, and over quota respondents.
      • Whether fields other than terminates and quotas should be tracked in JUMP.
      • If anyone outside of your company should have access to JUMP. If so, should they have full or limited (counts only) access.
      • What the expected soft launch and launch dates are.

The Jibunu Project Manager will meet with the team to review the final materials and go over any questions they may have and share that information with you. This is also the point where we can give you a pretty solid idea of when to expect a test link if we haven’t already provided you with a timeline. We’re happy to schedule a kickoff call if needed and will also request a call if a review of information would be helpful.

    3. The initial entry and basic programming is handled with our Configuration Team.  This is where our team really begins to work through the details of the survey, and we may find questions as we progress.
    4. After the configuration process is complete, the more in depth programming happens, if needed.
  3. Testing – Every project will go through the Jibunu Quality Assurance review process.  The time to complete the QA process will depend on the complexity of the study.  We do take into consideration the QA time when we provide you with an ETA for the test link.
    1. After production is complete, the entire survey is manually reviewed to ensure that it matches the questionnaire provided.  The materials will now go through its final review phase as well.
  4. Client Review – Once the survey has passed through the Jibunu Quality Assurance Team, all questions and feedback are assembled and returned back to you with a test link and access to our reporting site, JUMP. While we do our best to make sure that we have created the survey according to the questionnaire, we still need you to review the survey to ensure that we have interpreted the questions and logic as it was intended.
  5. Changes – Changes are an expected part of the process and you will want to make sure you build in a little bit of time in your schedule for some back and forth.
    1. Standard turnaround for changes is usually within the same business day.  However it could be more or less depending on the complexity of your study and complexity of the changes needed.
    2. Each round should be accompanied by versioned materials that includes marked/highlighted revision/additions. Only what is changing or being revised should be marked, not the entire question or section.  If possible, also include a changes log.
    3. In order for our team to make changes most efficiently and ensure the highest quality, which will ultimately lead to cost money and time savings for you, we suggest that the re-numbering of questions be avoided. Question numbers are not only used as references when communicating changes, but in our programming as well. Changing a question number may also require that programming be updated elsewhere in the survey as well.
  6. Launch – Once all the changes have been completed and you have approved the study to go live, we will prepare the study for launch.
    1. We will ensure that redirects and quotas are properly set in place and then we will move the study to live mode.
    2. We will perform a final QA review of the live link.
    3. We will remove all test data.
    4. We will provide live links to you and the sample provider, if requested.  We will also remove all test data from the sample provider’s testing.
  7. Reports and Data Analysis – Once the study is live, your JUMP access will be updated to include all reporting apps. At this point you will be able to access the most up to date field counters and survey data at any time.
